Terms & Conditions
These Terms and Conditions govern the relationship between Wild Women Journeys (ABN: (“we,” “us,” or “our”) and any person booking, purchasing, or participating in a tour, retreat, or related service (“you” or “your”).
By making a booking, paying a deposit, or otherwise confirming participation in one of our trips, you acknowledge that you have read, understood, and agree to be legally bound by these Terms and Conditions.
If you do not agree with these Terms and Conditions, you must not proceed with a booking.

1. Booking Deposit
A booking is not confirmed until we have received a deposit of twenty-five percent (25%) of the total trip price, or such other amount as may be advised by us in writing. The deposit is strictly non-refundable, except as required by Australian Consumer Law, as this covers our administration and marketing costs, and loss of the re-sale of a spot on the tour too close to the departure date. ​
The balance of the trip price is due no later than 30 days prior to departure for Australian domestic trips and 60 days prior to departure for international trips, unless otherwise specified. If the balance is not received by the due date, we reserve the right to treat your booking as cancelled and to retain the deposit paid.
Deposits are not transferable to another person or booking unless expressly agreed by us in writing.

2. Cancellation by You
​​
1. For domestic trips, if you wish to cancel your booking:
- 30 days or more prior to the departure date, you will receive full refund minus the booking deposit.
- between 7 and 29 days prior to the departure date, you will receive 50% refund of the total booking cost.
- within 7 days of the departure date, no refund will be given.

1. For international trips, if you wish to cancel your booking:
- 60 days or more prior to the departure date, you will receive full refund minus the booking deposit.
- between 29 and 59 days prior to the departure date, you will receive 50% refund of the total booking cost.
- within 29 days of the departure date, no refund will be given.

2. If you wish to transfer to another WWJ trip, you may do so up to 30 days prior to commencment of domestic trips of 60 days prior to commencment of international trips. Transfer may be applied to the same trip at a later date or across to a new trip. There is no transfer fee but you may need to pay a difference in trip costs.

3. If you fail to join a trip, or leave before its completion, you will not receive a refund for unused services.

4. Failure to pay the final amount owing for your trip on time (30 days prior to departure) will be a consideration of your booking as cancelled.

3. Cancellation by Us
​
In an unlikely event, Wild Women Journeys may be required to cancel a trip prior to departure for reasons arising from our own operations (for example staff availability, or internal business decisions).
​
If this occurs, you will receive a full refund of all monies paid to Wild Women Journeys for that trip. This refund will be made within a reasonable timeframe.

We are not responsible for any expenses you may have incurred outside your booking with us (including flights, visas, vaccinations, or travel insurance), so we strongly recommend arranging insurance that covers such costs.

4. Cancellation due to Force Majeure
​
In addition to our rights above, a trip may be cancelled if a Force Majeure Event occurs at or near the destination, or along planned travel routes, which makes it unsafe, unlawful, or otherwise not viable for the trip to proceed as planned.
In these circumstances, Wild Women Journeys will offer you the choice of:

a) a 100% credit of monies paid for your trip (valid for 24 months); or
-
b) a refund of monies paid, less any unrecoverable costs already committed to third-party suppliers on your behalf.
If cancellation due to a Force Majeure Event occurs after your trip has commenced, Wild Women Journeys will offer you either:
-
a) a credit equal to the unused portion of your trip (calculated from the days that remain); or
-
b) a refund for the unused portion of your trip, less any unrecoverable costs.
A “Force Majeure Event” means any event or circumstance beyond our reasonable control which makes it dangerous, unlawful, or impossible for a trip to commence or continue. Examples include, but are not limited to: acts of God; war; civil unrest; riot; government order, regulation, or restriction; natural disasters such as flood, fire, earthquake, or extreme weather events; strikes or industrial disputes; epidemic, pandemic, or other health emergencies; breakdown of transport or equipment; or any similar event outside our control.

We are not responsible for incidental or additional costs you may have incurred outside of your booking with us, including but not limited to visas, vaccinations, insurance excess, or non-refundable flights and other travel arrangements.

5. Minimum Numbers
Some tours are subject to a minimum number of participants, as displayed on the specific trip page of our website. If the minimum number is not met, we reserve the right to cancel the tour. In such cases, you will be notified no later than six (6) weeks prior to the scheduled departure date for international tours and no later than three (3) weeks prior to the scheduled departure date for domestic tours.

If the tour is cancelled due to minimum numbers not being met you will be refunded in full the monies paid to us for the tour.

We are not responsible for any expenses you may have incurred outside your booking with us (including flights, visas, vaccinations, or travel insurance), so we strongly recommend arranging insurance that covers such costs.

6. Changes to the Itinerary
We make every effort to operate trips as described, but sometimes changes are necessary due to forces outside of our control. The itinerary provided for your journey is a guide to the planned route and activities, and may be adjusted due to local conditions, safety considerations, or other unforeseen circumstances.

Before departure: If a significant change occurs (defined as a change affecting at least one day in five of the itinerary), we will notify you as soon as reasonably possible. In this case, you may choose to:
​

accept the revised itinerary (and pay any additional costs that may be associated with the change);

transfer your booking to another Wild Women Journeys trip; or
-
cancel and receive a refund of monies paid for the of the trip minus any unrecoverable costs.

After departure: Once the trip has commenced, we may need to make alterations to the itinerary in response to local circumstances or a Force Majeure Event. In such cases, any additional costs that arise from these necessary changes will be your responsibility.
Please note that Wild Women Journeys is not responsible for incidental expenses resulting from itinerary changes, including but not limited to visas, vaccinations, or non-refundable flights and other travel arrangements.

7. Weather

Wild Women Journeys itineraries often take place in remote and outdoor environments where weather conditions can be unpredictable. For the safety and comfort of our group, changes to the planned itinerary may be necessary due to weather events. This may include re-routing hikes, adjusting start or finish times, substituting alternative activities, or using different campsites or accommodations.

While we always aim to deliver the experience as described, we reserve the right to make these adjustments at our discretion in response to weather conditions. Such changes will not be considered a “major change” to the itinerary, and refunds will not be provided where alternative arrangements of equal value are offered.

Wild Women Journeys accepts no responsibility for additional expenses or losses caused by weather-related changes, including but not limited to altered transport connections, accommodation, or activities outside of your booking with us.
​
8. Third-Party Operators
​
On some of our journeys, Wild Women Journeys partners with trusted local operators for certain services, including transport, accommodation, guiding, and activities. While we carefully select these partners to align with our values and safety standards, we do not directly control their operations.
​
By joining one of these trips, you acknowledge that you may be subject to the terms and conditions of the third-party operator providing those services. Wild Women Journeys is not responsible for the acts or omissions of third-party operators and cannot be held liable for any loss, damage, injury, or expense arising from their provision of services.

We will always do our best to support you in the unlikely event of an issue, and we remain your main point of contact for the overall journey.

9. Travel Insurance
For all international trips, comprehensive travel insurance is compulsory. Your policy must cover (at a minimum) medical expenses, emergency evacuation, trip cancellation, personal liability, and specific activities included on the trip such as snow activities or high altitutde. Proof of insurance will be required prior to departure, and you may not be permitted to join the trip without it.

For our domestic Australian trips, travel insurance is not mandatory but is strongly recommended. This helps protect you against unexpected changes or expenses, including trip cancellations, medical treatment, or lost/damaged belongings.
​
Wild Women Journeys is not responsible for any costs incurred by guests who fail to arrange adequate insurance.

10. Authority on Tour
Our journeys are led by experienced guides, crew, or local partners (“Leaders”) who are responsible for the safety and wellbeing of the group. Our Leaders have thorough knowledge of the local area and are experienced in facillitating tours, for this reason, the Leader’s decisions are final in all matters that may affect your safety, the welfare of others, or the successful operation of the trip.

If a traveller disregards the Leader’s instructions, disrupts the enjoyment of the group, or impacts our ability to deliver the trip as planned, the Leader has the right to require that traveller to leave the trip immediately. In such circumstances, no refund will be provided, and Wild Women Journeys reserves the right to decline future bookings from that traveller.
